What a stock register is

A stock register is a running record of one item: what you had at the start, what came in, what went out, what was lost, and what is left. A trader keeps one page per item, or one sheet with a block per item. It is how you answer "how much do I have?" without walking the godown, and how you spot theft or loss.

What to write in each row

  1. Opening balance. The quantity at the start of the period. It is the closing balance of the last period.
  2. Received. Goods bought, returned by a customer, or moved in from another godown. Write the purchase bill or voucher number.
  3. Issued. Goods sold or sent out. Write the invoice or challan number.
  4. Lost / damaged. Goods lost, stolen, destroyed, written off or given as a gift or free sample. Write the reason in the particulars.
  5. Balance. Opening + received - issued - lost. Check it with a real count from time to time and note any difference.

Does GST require it?

Yes, for most businesses. Rule 56 of the CGST Rules asks a registered person (other than one in the composition scheme) to keep accounts of stock for the goods received and supplied. They show the opening balance, the receipts, the supplies, goods lost, stolen, destroyed, written off or given as gifts or free samples, and the closing balance. The records must be kept at your place of business and shown to the tax officer on request. Ask your CA which records apply to your business.

Rule 56 of the CGST Rules asks a registered person (other than one in the composition scheme) to keep accounts of stock for goods received and supplied: opening balance, receipts, supplies, goods lost, stolen, destroyed, written off or given as gifts or free samples, and the closing balance. Ask your CA which records apply to your business.

Can I download the stock register in Excel or Word?

Yes. The blank register is free in PDF, Excel and Word, with no signup. In the Excel file write the opening balance as the first row under Received. The balance column and the totals work by themselves.
